The personal information which we collect from you about you and your child is used by CEBS only to be able to communicate with you effectively regarding CEBS classes, charges, CEBS activities, etc, and to be aware of any medical needs of your child. We will never use your contact details for any marketing purposes unrelated to CEBS or pass them on to third parties.
What we collect:
Your child’s/children’s name(s)
Their Date of Birth
Any relevant medical information for your child/children
Address and phone numbers (Home, Mobile and Emergency contact)
What we do with the information we collect:
The information we collect for your child is to enable us to correspond with you effectively, to ensure your child is in age appropriate classes, to assess when they are ready to take examinations and class awards and to ensure CEBS is aware of any medical conditions which could affect them during their class time with us.
If you believe that any of the information we are holding about you and/or your child/children is incorrect, out of date or incomplete, please write to or email us as soon as possible. For example if you have moved house or changed your phone number since you signed your child/children’s Student Details Form, or if there has been a change of name, or there is new medical information, please let us know as soon as possible. We will promptly amend any information found to be incorrect.
We are committed to ensuring that the data we take from you is kept safe and secure and as such we have put into place appropriate physical and electronic procedures to safeguard your information.
We will only share personal information about you or your child with another organisation if we:
Have a safeguarding concern about your child – this is a legal requirement
Are required to by government bodies or law enforcement agencies
Need to pass on unpaid fees to a debt collection agency
Have obtained your prior permission – such as, for example, for entry forms for examinations and class awards
You have the right to ask to see the data we have about you or your child at any time under the Data Protection Act 1998. We will respond to all such requests within 14 days. Upon leaving the school we assure you that all data for your child is archived on the Membermeister system, and that paper records are properly disposed of. We are by law required to keep some information for a specific amount of time however, so it may not all be deleted immediately.
We are registered with the Information Commissioner’s Office (ICO). Should you have a complaint about how you believe we have kept your data, how we have responded to an access request, update or erasure of your data, you should contact the ICO.
